Skavio Payment Proof: What to keep alongside on-chain payment evidence
Skavio Payment Proof provides PDF payment evidence and CSV exports that can support a bookkeeping handoff. Those records still need a business explanation. A verified USDC transfer does not, by itself, establish which invoice it settles, who the customer is or whether anything was delivered. Build a reusable evidence packet that connects the transfer to its purpose—and records who reviewed that connection.
Start with the commercial record, not the transaction hash
Create one internal reference for the transaction you are documenting, then gather the records explaining why money was expected. Depending on the arrangement, these might include an issued invoice or receipt, an accepted order or contract, a description of the goods or services, relevant customer correspondence, and delivery or acceptance evidence. This is a recommended workflow, not a universal statutory checklist. Keep the commercial document separate from settlement evidence. Skavio Payment Proof is a separate, noncustodial USDC payment-confirmation and evidence product: businesses receive funds into their own receiving wallet, and Skavio does not require private keys or recovery phrases. Its payment evidence is not a tax invoice and does not replace the merchant’s tax responsibilities. The distinction matters during review. An invoice explains the charge; transfer evidence documents an observed transfer; delivery records explain fulfillment. Together, they provide context that none of those records supplies alone. For U.S. federal recordkeeping, the IRS explains that supporting documents substantiate business entries and that several documents may be necessary to establish a purchase.
- Retain the applicable invoice, receipt, order or contract under the same internal reference.
- Keep relevant correspondence and fulfillment evidence where they help explain the transaction.
- Do not relabel payment evidence as a tax invoice.
Preserve transfer facts—and document the connection the chain cannot supply
Alongside the commercial documents, retain a clear record of what was checked on-chain. The fields below are a recommended evidence checklist, not a claim about the exact fields in a Skavio export. Verify token identity against Circle’s official network-specific USDC contract list, which distinguishes mainnet from testnet; a token label alone is not that check. Then add a reconciliation note connecting the particular transfer to the business’s receiving wallet, customer record and invoice or order. ERC-20 Transfer events contain a sender address, recipient address and value. The standard does not supply a customer’s legal identity, invoice reference or fulfillment record. A sending address must therefore not be presented as independently verified customer identity. Where the connection is uncertain, preserve that uncertainty. “Transfer verified; invoice allocation awaiting review” is more useful than an unsupported “paid” label.
- Record the network, transaction hash, token contract and token amount.
- Retain the token-transfer sender and recipient addresses and the transaction timestamp.
- Record the verification result and when it was observed; do not upgrade a pending or inconclusive result into confirmation.
- Keep the evidence supporting the transfer’s connection to the invoice or order, including unresolved discrepancies.
Keep valuation and later asset history separately: U.S. federal guidance
For U.S. federal tax purposes, the IRS requires records of digital-asset receipts and their fair market value in U.S. dollars when received as business income or payment. As a practical way to preserve that evidence, keep the receipt timestamp, quantity, USD valuation, valuation source and calculation with the packet. Do not substitute an invoice-date quote for receipt-time evidence or assume that a USDC quantity automatically establishes its recorded USD value. The record may also need to extend beyond the payment. If received USDC is later sold, exchanged or otherwise disposed of, preserve the relevant transaction and basis records. The IRS identifies asset type, dates and times, units, fair market value and basis as relevant information for digital-asset calculations. These are U.S. federal points, not worldwide accounting or tax instructions. Invoice requirements, VAT or sales-tax treatment, valuation rules and other duties need jurisdiction-specific verification.
Make reconciliation a recorded decision
Assign a reviewer to decide how the verified transfer relates to the commercial record. Their note should identify the invoice or order, amount applied, remaining balance, reviewer and review date. This is an internal control recommendation—not a verified Skavio automatic-reconciliation feature. Keep partial payments, excess payments, refunds and corrections linked to the original record rather than silently replacing it. If a transfer is real but its reference is wrong, retain both the observed facts and the later explanation for the allocation. Classification deserves its own check. A confirmed transfer is not automatically a customer sale: owner funding, treasury movements and test transfers need to remain distinguishable from customer payments. Nor does chain confirmation establish that goods or services were delivered.
- Record both the amount received and the amount applied to the invoice.
- Leave unresolved matches visibly open rather than forcing a settlement decision.
- Link later adjustments to the original evidence and preserve the review history.
Keep the completed packet in an archive the business controls
Retain the original commercial documents, Skavio Payment Proof PDF evidence and CSV exports, valuation records where applicable, and reconciliation notes in an access-controlled business archive. Name a person responsible for completeness, access and backups. Keep wallet private keys and recovery phrases out of the packet entirely. Do not treat access to a product interface as an archival policy. Maintain the business’s own retained records rather than assuming Skavio storage replaces them. Use payment exports as supporting documents, not as proof that all bookkeeping, retention or tax-compliance duties have been met. There is no single worldwide retention period to apply. Under U.S. federal guidance, retention depends on the record and the applicable limitation period. Property-related records may need to remain available until the limitation period expires for the year of disposition. Set a schedule appropriate to the business’s jurisdiction and record types. A practical handoff test is whether another authorized reviewer can follow the packet from commercial purpose to transfer facts, valuation where relevant, and final reconciliation decision—without relying on the original reviewer’s memory.
